Last updated: September 20, 2026
This Privacy Policy explains how Willamette Records (“Willamette Records,” “we,” “us,” or “our”) collects, uses, discloses, retains, and protects personal information when you visit our websites, use our online store, watch or stream embedded content, communicate with us, purchase products, subscribe to updates, or otherwise interact with our services.
Last updated: September 20, 2026. By using our services, you acknowledge the practices described in this Policy. This Policy does not apply to information collected independently by third-party services, platforms, or websites that we do not control.
1. Scope
This Policy applies to Willamette Records websites and digital properties that link to it, including our label website and online store. It also applies to information we receive through customer service, licensing, publicity, rights-management, marketing, and business communications. Artist-operated websites, streaming services, social networks, payment processors, shipping companies, and other external services may maintain their own privacy policies.
2. Information We Collect
Information you provide
We may collect your name, email address, postal address, telephone number, account credentials, communication preferences, order and delivery details, product selections, transaction history, customer-service messages, contest or promotion entries, survey responses, licensing or press-request details, and any other information you choose to send us. Payment-card information may be collected directly by our payment processor; we may receive limited payment information such as transaction status, card type, and the last digits of a card.
Information collected automatically
When you use our services, we and our service providers may automatically collect IP address, device identifiers, browser and operating-system information, language, approximate location derived from IP address, referring and exit pages, pages and content viewed, links clicked, dates and times of visits, session duration, shopping-cart activity, and information about how you interact with emails or advertisements. We may collect this information through cookies, pixels, local storage, log files, software development kits, and similar technologies.
Information from other sources
We may receive information from our store providers, payment and fulfillment providers, marketing partners, analytics providers, fraud-prevention services, social networks, streaming platforms, public sources, artist representatives, and other business partners. If you interact with us through a third-party account or social feature, the provider may share information according to your settings and its policies.
3. How We Use Information
We may use personal information to:
- provide, operate, maintain, personalize, and improve our websites, store, products, and services;
- create and administer accounts, carts, orders, payments, delivery, returns, and customer support;
- respond to questions, press inquiries, licensing requests, rights claims, and other communications;
- send transactional notices and, with any consent required by law, newsletters, release announcements, promotions, and marketing;
- understand audience interests, measure performance, conduct analytics, and develop content, products, and campaigns;
- protect our services, artists, customers, rights, and property; prevent fraud, abuse, security incidents, and unlawful activity;
- comply with legal obligations, resolve disputes, enforce agreements, and establish, exercise, or defend legal claims;
- conduct corporate planning, audits, reporting, and transactions; and
- carry out another purpose disclosed when the information is collected or with your consent.
4. Legal Bases for Processing
Where applicable law requires a legal basis, we process personal information as needed to perform a contract with you, comply with law, protect vital interests, pursue our legitimate interests or those of others, or with your consent. Our legitimate interests include operating and securing our services, communicating with audiences and business contacts, promoting our artists and releases, understanding service use, and protecting our rights. You may withdraw consent where processing depends on consent, without affecting earlier processing.
5. Cookies and Similar Technologies
We use necessary technologies to keep the site and store working, remember preferences, secure transactions, and maintain sessions. We may also use analytics and advertising technologies to understand visits, measure campaigns, and provide relevant content. Browser settings may allow you to block or delete cookies, but some features may not function properly. Where required, we provide a consent choice before using nonessential cookies.
We recognize legally valid browser-based opt-out preference signals, such as Global Privacy Control, where required. Because there is no universally accepted standard for other “Do Not Track” signals, our services may not respond to them.
6. How We Disclose Information
We may disclose personal information to vendors and contractors that support hosting, ecommerce, payments, order fulfillment, shipping, communications, analytics, marketing, security, fraud prevention, rights management, legal, accounting, and other business functions. They are authorized to process information for the services they provide to us and subject to appropriate obligations.
We may also disclose information to artists, representatives, licensees, distributors, or business partners when reasonably necessary to fulfill a request or conduct a disclosed collaboration; to government authorities or other parties when required by law or reasonably necessary to protect rights, safety, and security; or in connection with a merger, financing, acquisition, reorganization, bankruptcy, sale of assets, or similar transaction. We may disclose aggregated or deidentified information that cannot reasonably identify you.
We do not sell personal information for money. Depending on the technologies used on our services and the law where you live, certain disclosures for cross-context behavioral advertising may be treated as “selling,” “sharing,” or targeted advertising. You may have the right to opt out as described below.
7. Third-Party Platforms, Embeds, and Links
Our services may link to or embed YouTube, social networks, music streaming platforms, ecommerce tools, and other third-party services. When you view or use an embed or follow a link, that third party may collect information directly from you, receive device and interaction data, or place cookies. Its own terms and privacy policy govern those practices. A link or embed does not mean we control or endorse the third party’s privacy practices.
8. Marketing Choices
You may unsubscribe from marketing emails by using the link in an email or contacting us. We may still send nonmarketing messages about orders, accounts, policy changes, or our relationship with you. You can control many cookies through browser settings and any consent controls made available on our services. Choices may apply only to the browser and device where you make them.
9. Retention
We retain personal information for as long as reasonably necessary for the purpose for which it was collected, including to provide services, maintain business and transaction records, meet legal, tax, accounting, and reporting obligations, prevent fraud, resolve disputes, and enforce agreements. Retention periods vary based on the nature and sensitivity of the information, the purposes of processing, legal requirements, and whether the information can be deleted or deidentified.
10. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. No internet transmission, electronic storage system, or security measure is completely secure, and we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of account credentials and notifying us of suspected unauthorized access.
11. Children
Our services are intended for a general audience and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us so we can review and, where appropriate, delete it. Minors should use the services only with the involvement of a parent or guardian as required by law.
12. U.S. State Privacy Rights
Depending on your state of residence and subject to legal exceptions, you may have the right to confirm whether we process your personal information; access, correct, or delete it; obtain a portable copy; opt out of targeted advertising, sale, sharing, or certain profiling; limit certain uses of sensitive information; and appeal a decision on a request. Oregon residents may have rights under the Oregon Consumer Privacy Act, including a right to request a list of specific third parties to which personal data was disclosed where applicable.
To exercise a right, contact us using the details below and describe your request and state of residence. We may ask for information reasonably necessary to verify your identity and authority. An authorized agent may submit a request where permitted, but we may require proof of authorization and direct verification. We will not discriminate against you for exercising a privacy right. If we deny an appealable request, our response will explain how to appeal.
13. California Notice
California residents may request information about categories and specific pieces of personal information collected, sources, business or commercial purposes, categories of recipients, deletion, and correction. They may also opt out of sale or sharing and limit certain uses of sensitive personal information where applicable. The categories collected may include identifiers, customer records, commercial information, internet or network activity, approximate geolocation, audio or visual information you provide, professional information in business communications, and inferences. We collect and disclose these categories for the purposes and to the recipients described in this Policy.
We do not knowingly sell or share personal information of consumers under 16. California’s “Shine the Light” law may permit residents to request information about certain disclosures for direct-marketing purposes.
14. International Visitors
Willamette Records is based in the United States. If you access our services from another country, information may be transferred to, stored in, and processed in the United States and other countries where our providers operate. Those countries may have privacy laws different from those in your jurisdiction. Where required, we use recognized safeguards for international transfers.
15. Changes to This Policy
We may update this Policy to reflect changes in our services, practices, technology, or legal requirements. We will post the updated version and revise the “Last updated” date. If a change is material, we may provide additional notice as required by law.
